Proof of delivery, usually shortened to POD, gives both the venue and the supplier a clear record of what happened at that moment.

A clear record of the handover
When a driver arrives, they record the delivery in the system and complete the handover with the customer. Once the customer signs, the delivery is concluded and the POD is generated.
Depending on the delivery, the POD can include the recipient’s signature, the time of delivery, notes, photographs and geolocation. Together, those details create a useful record of the delivery event: who received it, when it was completed and any relevant information recorded at the time.
For a busy hospitality business, that clarity can be valuable long after the driver has left. If a colleague needs to confirm whether stock was received, or a manager needs to look back at a delivery, there is a defined record rather than a vague recollection.
Recording delivery issues when they happen
POD is also helpful when something needs to be noted during delivery. Shortages, damages and other delivery exceptions can be recorded through the process.
For a shortage, the record can identify the relevant product and quantity. For damage, it can identify the affected product and quantity, include supporting details and photographs, and record the information needed to understand the issue. Capturing the detail while the delivery is being completed gives everyone a better starting point for resolving it.
This does not mean that every delivery becomes an administration exercise. It means that, when an exception does arise, there is a practical way to document it clearly rather than reconstructing the situation later from incomplete information.

As soon as the POD is generated, the system can send it by email to the customer’s subscribed email address. It is also available to our office team through the Podfather portal.
That gives the venue a record that can be shared internally if needed. For example, the person receiving a morning delivery does not need to be the same person who later checks stock, speaks to a manager or deals with an account query. A POD provides a common reference point for the team.

For most deliveries, the ideal outcome is uncomplicated: goods arrive, they are received and the day continues. POD supports that simple outcome by making the final stage visible and documented.
