From Warehouse to Venue: How a Champers Delivery Comes Together

When you are preparing for a busy service, a drinks delivery is not simply another box to tick. It is the stock behind the bar, the wine for the tables, and the soft drinks that keep the day moving. At Champers, every order follows a clear journey before it reaches your venue.

Your order joins the warehouse queue

Once an order reaches our warehouse, it waits in the picking queue. Our picking team works from the sales order, using an app that shows the products required, the quantities and where each item is located in the warehouse.

That structure matters. A drinks order can contain a wide mix of products, from bottles and cases to kegs and soft drinks. Giving the picker the right information at each stage helps the team assemble the order accurately and efficiently.

Picked, then independently checked

Picking is not the final check. When an order has been assembled, a separate member of our checking team reviews it against the order. They confirm that the products and quantities are correct, with the same system helping them verify the relevant product codes.

In other words, the order is reviewed by two different people before it is prepared for dispatch: first by the picker, then by the checker. It is a simple but important part of the process, particularly when a venue needs a varied order ready for the next trading day.

If an item is unavailable and there is a suitable close alternative, we will contact the customer to discuss it. That gives the venue an opportunity to make a decision before delivery rather than being left to discover an unexpected substitution.

Wrapped, planned and loaded

After checking, the order is wrapped and prepared for loading. At the same time, deliveries are organised into planned routes and allocated to the appropriate van or lorry. We keep the detailed routing mechanics behind the scenes, but the purpose is straightforward: to get the right orders onto the right vehicles for a well-organised delivery run.

Before setting off, drivers complete a mandatory vehicle check through Podfather. If an issue is identified, it can be recorded with supporting photographs for follow-up. This helps make sure a vehicle is checked before it begins its route.

Arriving at your venue

At the delivery point, the driver records their arrival in Podfather and completes the handover. Once the delivery has been completed, the customer signs the proof of delivery (POD). That signature closes the delivery in the system and generates the delivery record.

The POD is then available to you by email and to our office team through the Podfather portal. It creates a clear record of the completed delivery, rather than relying on a loose paper trail or a later conversation about what arrived and when.

A process designed around the working day

The warehouse side of a delivery is often invisible to the venue receiving it, and that is exactly how it should feel. The useful outcome is a delivery that has been picked, checked, prepared and documented before it reaches your door.

For standard next-day delivery, please place your order by 12pm the day before. If your venue has particular access requirements, delivery instructions or a preferred delivery window, please send them to us by email in advance so we can assess and plan for them.
